Enlightening Science
European XFEL is an international non-profit company located in the Hamburg area in Germany. It operates a 3.4 km-long X-ray laser, which produces X-rays of unique quality for studies in physics, chemistry, the life sciences, materials research and other disciplines. The diverse scientific facilities at European XFEL enable scientists from across the globe to carry out a wide range of experimental techniques.

For our Facility Management team in our Technical Services group we are looking for a

Working Student - Office Support (15-20h or Mini-Job with 9+h)

The Position

In all these tasks, you will support our main employee Frederike and will be trained step by step:

  • Management of keys, access cards, and transponders
    Together with her, you will ensure that access to our premises is secure and runs smoothly.
  • Maintenance of inventory and documentation of assets
    With her support, you will keep track of our equipment and help to document all changes properly.
  • Organization of work and cleanroom clothing
    Together with her, you will coordinate to ensure that all employees are always well equipped—from protective clothing to the right size.
  • Ordering & management of consumables
    Whether it's laboratories, offices, or our employee bikes, you will work with her to ensure that there are always enough supplies and that nothing important is missing.
  • Assistance with the management of our vehicle fleet
    You will assist with the organization of our company vehicles (cars, vans, bicycles) – Frederike will of course be there to support you.
  • Maintenance of our digital documentation
    Using tools such as ALFRESCO and other systems, you will help to maintain lists and create clear structures – you will be carefully trained.
  • Correspondence with internal and external contacts
    You communicate confidently in German – and either have a good knowledge of English or are keen to develop your skills with us. Here, too, you will not be left to your own devices.
Requirements
  • Excellent written and spoken German skills are required, as most communication—e.g., via email or telephone—is conducted in German. English skills are an advantage. If you would like to improve your English skills, we will be happy to support you.
  • Currently enrolled students—or mini-job basis (enrollment is not necessary for this).
  • Organizational skills – You keep track of things, are good at planning, and enjoy structuring tasks in a meaningful way and helping out with everyday office work.
  • Interest in office work – You are not afraid to familiarize yourself with topics related to office organization, software such as Microsoft Office (e.g., Excel), and general processes – even if you are not yet familiar with everything.
  • Sense of responsibility and discretion – You handle sensitive information with care and know when confidentiality is required.
