European XFEL is an international non-profit company located in the Hamburg area in Germany. It operates a 3.4 km-long X-ray laser, which produces X-rays of unique quality for studies in physics, chemistry, the life sciences, materials research and other disciplines. The diverse scientific facilities at European XFEL enable scientists from across the globe to carry out a wide range of experimental techniques.

For our Technical Services group we are looking for an

Working Student – Administrative Support & Assistance (f/m/d) 20hours

The Position
  • One of your tasks will be to actively support and mentor our apprentices assisting them with their daily tasks and fostering their professional and personal development. (The task supervising our apprentices may be cancelled if other solutions arise)
  • handling correspondence with staff and externals in English and German
  • managing keys, access cards and transponders
  • maintaining inventory and document assets
  • organizing work and clean-room clothing
  • ordering and organizing various types of consumables (for cleanroom, labs, offices, staff bikes, etc.)
  • managing the company vehicles (cars, transporter + bikes)
  • organization of meetings
  • maintaining documentation in ALFRESCO and lists in other places
  • Your working days are Tuesday, Wednesday, Thursday - start of work from approx. 07:30 - 08:30
Requirements
  •  Fluent in spoken and written English and German
  •  Currently Enrolled Student – Must be a student pursuing studies in psychology, special education, social work,
  •  human resources, business administration, or a related field
  • You are still studying for at least 2 years
  • Ability to provide clear instructions, use positive reinforcement, and adapt communication styles based on the apprentices needs
  • Patience and Empathy – Must be patient, understanding, and supportive in helping the trainee navigate workplace tasks and social expectations
  • Organizational Skills – Capable of assisting the trainee with task management, time management, and office procedures
  • Basic Office Skills – Familiarity with office software (e.g., Microsoft Office, Excel) and general workplace etiquette
  • Confidentiality and Professionalism – Respect for privacy and adherence to workplace confidentiality policies
